Customer Address Book


Introduction

The Customer Address Book feature allows all Sales Consultants to save customer contact details.  When creating new sales quotes, if QuoteCloud recognises a customer name or email address new sales quotes, the software can automatically complete customer details. 

When creating a new sales quote, the create quote wizard will prompt you for the contact details of the customer (as shown below).  As you start typing the customers contact email address or customers name, QuoteCloud will search the Customer Address book and suggest matching contacts. 

If the Sales Consultant selects an existing contact from the Customer Address Book, QuoteCloud will save time by prepopulating all the customer details needed to create the sales quote.

 

 

If the Sales Consultant is creating a sales quote for a new customer, they have the option to add the customer contact details to the Customer Address Book, this is simply done by ticking the Save contact details checkbox (as shown above in the lower left part of the window).

Managing Contacts in the Customer Address Book

It is important to make corrections to customer contact details or remove customer data this is no long er required.   To manage your Customer Address Book, click on the Content Libraries menu on the Sales Quote Dashboard, and select the option Contact Address Book (as shown below).

 

You will now see a window appear to manage your customer contacts, as shown below.

To update the contact details of an existing customer, click on the Edit button on the right of the page for the corresponding customer you wish to update.

To delete a customer contact record, click on the down arrow on the right of the Edit button and select the option Delete.

 

If your customer database is large you will need to search for the customer record, this is done by clicking on the Filter button (as shown below).

After clicking the Filter button you will notice a row of filter fields appear below each column label.  Type a search string in one or more of the filters and matching records will be displayed, for example if you are search for a customer whose name is John Smith, you might click in to the Last Name filter at type the Smith.  This will display all customers with the last name containing the word "Smith".

 

Adding a New Contact

If you will to add new contacts there are two methods:

1. manually add the contact, using the Add Contact button
2. import the contacts from another source using a CSV file.
